Contract to Install an Audio -Visual System in City Hall Room 111 RECOMMENDATION: Staff recommends a change order to a contract with The Field Shop, Inc. specified by RFP 15c 09 (City Hall Audioc Visual Renovation project) that was approved by City Council in December 2015 to expand the scope of service to include equipment for and installation of audioc visual equipment in Room 111 (project 18008) to match the A/V systems and standards in place in Room 326 and Room 219. BACKGROUND: The contract with The Field Shop, Inc. was specified by RFP 15c 09, which was approved by City Council in December 2015, and encompassed audioc visual upgrades of City Hall and the TV Center, but due to budgetary constraints, renovation of Room 111 was removed from the project. DISCUSSION: Project 18008 City Hall Room 111 Ac V Upgrade is a budgeted capital improvement project for the current CIP cycle. The Field Shop, Inc. already has renovated the audioc visual systems in City Hall Room 326 and Room 219. Room 111 A/V upgrades originally were part of that renovation, with The Field Shop having designed an A/V system for that room. Having another vendor specify equipment and install Room 111 would require a steep learning curve of the current systems without a guarantee of uniformity or compatibility. BUDGET/STAFF IMPACT: Budget has been allocated in project 18008 under the current CIP cycle. Cost for The Field Shop's A/V equipment and installation of Room 111 is $65,649.00, plus estimated shipping costs of $850.00 and taxes of $6,484.00, for a total of $72,983.00.
