Subject Res. 180-08
I talked to the City Attorney. Since the resolution is contingent on the fact that the
drawings must meet City specs, and since they do not, the resolution dies. It does not
need to be rescinded. When I prepare the letter for the Agenda request for the next
lowest bidder I will mention the above resolution and that the drawings did not meet
specs.

This resolution calls for the award to be made based on the sign truck meeting the spec as determined by the C A D
drawings. The drawings sent do not meet the specs therefore the award will go to the next lowest bid. This vendor will also
have to meet specs and we are waiting for his drawings so we can review.

A RESOLUTION AWARDING BID #08-58 AND APPROVING
THE PURCHASE OF ONE (1) SIGN BODY TRUCK WITH CRANE
FROM GOLDEN CIRCLE FORD IN THE AMOUNT OF $72,660.00
FOR USE BY THE TRANSPORTATION/TRAFFIC DIVISION,
SUCH APPROVAL BEING CONTINGENT UPON THE SIGN
BODY MEETING THE REQUIRED SPECIFICATIONS.
BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF
FAYETTEVILLE, ARKANSAS:
Section 1. That the City Council of the City of Fayetteville, Arkansas
hereby awards Bid #08-58 and approving the purchase of one (1) sign body truck
with crane from Golden Circle Ford in the amount of $72,660.00 for use by the
Transportation/Traffic Division, such approval being contingent upon the sign
body meeting the required specifications.

SUBJECT: Purchase of one Sign Body truck with crane
RECOMMENDATION: That City Council approve the purchase of one sign body truck with
crane for assignment to the Transportation Traffic Division in the amount of $72,660.
BACKGROUND: Bid #08-58 was opened on September 10, 2008 for one sign body truck with
crane for assignment to the Transportation Traffic Division. Five bid responses were received. A
detailed tabulation sheet is attached.
This unit is a replacement for #317, a 1999 Ford that was budgeted for replacement in 2006.
Much of the delay is the result of difficulty finding a body manufacturer to build a sign body to
our specifications. That has now been accomplished.
The low bid from Golden Circle Ford meets all specifications for the truck, sign body and crane.
The vendor has advised that they will send CAD drawings of the sign body once a Purchase
Order is received so the City can determine that it does in fact meet specs.
I recommend acceptance of the bid from Golden Circle Ford in the amount of $72,660.
Funds for this purchase are available in Fleet project #02078 — Light / Medium Utility Vehicles.
This purchase was approved by the Equipment Committee on September 16th, 2008,
contingent upon the sign body meeting City specifications.
