Date: May 30, 2007
Subject: Purchase of one Large Round Hay Baler
RECOMMENDATION: That City Council approve the purchase of one large Round Hay Baler
for use by Water and Sewer Division at the OMI Hay Farm.
BACKGROUND: Bid #07-45 was opened on May 15, 2007 for one large round hay baler for
assignment to the Water and Sewer Division - OMI Hay Farm. Two bid responses were
received. A detailed tabulation sheet is attached
The lowest bid from Williams Tractor of Fayetteville meets all specifications.
I recommend acceptance of the bid from Williams Tractor in the amount of $21,998.00. They
have allowed the City $19,750 in trade-ins on small square hay baling equipment.
This unit is a replacement for unit #9004, a 1999 John Deere small square baler. This unit is
scheduled for replacement after six years. Trade allowance for the baler alone is 52% of ongmal
purchase. This commercial haying equipment receives several times the annual hours of use as
typical family farm equipment. Conversion of small square bale production to Targe round bales
enables trade-in or disposal of all small square bale handling equipment. We believe that the
trade-in option is more advantageous for the City in this case than public auction.
Funds are available for this purchase in Fleet Replacement Special Project 02083 —
Tractor/Mowers.
This purchase from Williams Tractor was approved by the Equipment Committee at the meeting
of May 29, 2007.
