To: Mayor Dan Coody and Members of the City Council
From: Frank Johnson, Chief of Police
Date: March 23, 2006
Subject: Destruction of old Police Documents
Recommendation:
Adopt a resolution allowing the Police Department to destroy Police documents
as listed by utilizing a shredding company.
Background:
The Fayetteville Police Department has kept documents since the 1970's. These
documents are stored in an off site warehouse or at the old City Jail site. While
determining an appropriate Records Retention Schedule these documents were
determined to be of an age to be destroyed. These documents do not include
investigative case files.
Discussion:
These documents are taking up space and are no longer needed for prosecution
of cases Upon reviewing Arkansas law 14-2-204 Municipal Police Department Records
the attached listed documents falls within these guidelines for destruction.
•
Budget Impact:
The Police Department will utilize a shredding service. The estimated cost is
based on $ 15 per pound or approximately $600.00, which will be covered under
Services and Charges category in Support Services budget.
