MONTHLY REPORTS: MINUTES It was moved by McBride, second by Bassett that the minutes of the September and October meeting be approved. Motion carried. FINANCIAL Ben Mayes presented the financial report for October. HMR • collections were $76,400 in October an increase of 12.83% over 1993 collections. Total year to date collections are $715,063, an increase of 18.71%. October expenditures were $58,184. Major expenditures were for 3 month operations of trolley. Year to date expenditures $779,204. Moved by Fennel, second by Bassett to approve the financial report. Motion carried. • ACTIVITY REPORT Marilyn Johnson reviewed October Visitor Development. 800 number totaled 1135 calls. Year-to-date increase over 1993 calls of 5811 responses for October were 2401. received total 29,002. activities of Convention calls received in October. calls totaled 7474 an year-to-date. Total inquiry Year to date inquiries Convention activity has involved working primarily with the NCAA Cross Country meet. Assistance has been provided for Lights of the Ozarks and the Square Gardens Committee. University students were supervised on Make a Difference Day. Dining and Lodging Guide has been updated and printed. Moved by Fennel, second by McBride to approve the Convention Visitor Report. Motion carried. AGENCY REPORT Susan Stirewalt and Brad Ruth presented an evaluation of advertising placed by the agency in 1994 and geographic and • demographic marketing strategy for 1995 spring campaign. Active males 18-44 will be a test marketing group for the Fayetteville in addition to the 50+ traveler and the family traveler. Moved by McBride to approve the agency report, second by Fennel. Motion carried. OLD BUSINESS: APPROVAL OF 1995 BUDGET After review of budget items, it was by Hanna to approve the 1995 budget. of the approved budget is attached. NEW BUSINESS: moved by McBride, second Motion carried. A copy NCAA CROSS COUNTRY ADVERTISING A proposal to purchase advertising on NCAA Cross Country on PRIME Network was presented. The show with 7 spots will air 5 times, 43 million audience each time. Moved by Fennel, second by Bassett to spend $10,000 to purchase advertising on the program. Motion carried. LITTLE 0' OPREY Proposal to assist Little 0' Oprey in the printing of a brochure for $1,995 died for lack of a motion. SQUARE GARDENS A proposal was received from the Square Gardens Advisory Board for $27,464 for sprinkler system replacement/upgrade, repair of rock retaining wall, long range master plan, and replacement of plants and materials. Moved by Bassett, second by McBride to fund this $27,464 request for improvements and management of the Square Gardens. Motion carried. Commissioners were encouraged to review the materials from IACVB on convention/exhibit data. Joe Fennel said the commissioners should seriously look at the Hatfield property and the parking garage as a potential location for an exhibit hall.
