CALL TO ORDER: 4 The meeting was called to order by Chairman. Mike Green. MONTHLY REPORTS: MINUTES; F A motion was made to approve the minutes as written and received. Carried. FINANCIAL REPORT: Ben Mayes presented the Financial Report to the Commission, pointing out the 8.54.% change in May over May, 1991. ACTILVITY REPORT: Dede Ellis presented the May, 1992 Activity Report to the Commission for review. At this time, Fred Vorsanger asked Ed Barham what our current financial status is with MRGH. Ed reported that there is $80,342.19 remaining in the Public Notification Budget. OLD BUSINESS: Locomotive: Fred reported that he had spoken with the Mayor of Mena, Arkansas who had looked at the engine and decided that it was not appropriate for their historical museum. Dede passed out copies of a rundown on how the engine was obtained and maintained for the Commission to review. 123 WEST MOUNTAIN • P.O. Smith Chamber of Commerce that same morning, and that Ft. Smith has agreed to take the engine for advertising purposes. Mike Green commented that it was a good deal since we would otherwise have to make $10,000 in repairs to get it in working order. A motion was made by Steve Ward to give the locomotive to Ft. Smith. Mike Green seconded. The motion carried. NATA Ads: Steve said that we should pick up 10% of the cost of these ads in order to get more Fayetteville businesses to advertise. He said that there is a choice of committing to buying a page ad and subsidizing the ad cost or a reduction in the number of pages. He commented that Fayetteville is very poorly represented in the book. NEW BUSINESS: ADR/Hotel Occupancy: Dede Ellis reported that she would be calling all of the hotels and motels in Fayetteville on or about the 5th of each month to ask for each month's figures which would be compiled for a city-wide occupancy/ADR figure and then reported to the A & P Commission and Chamber Convention Visitor Committee. Ad Agency Contract: Steve passed out copies of the Blackwood/Martin Associates advertising contract for inspection by the Commission. Fred moved to accept the Contract subject to City Attorney approval. Joe Fennel seconded. The motion carried. Mike Green noted a memo in which a meeting was announced on June 24,1992 at 3:00 pm Room 111 in City Hall for the purpose on presenting a proposal for enhancement of four entranceways into the City of Fayetteville. A & P Commission Members; Community Development Committee Members; Fayetteville Future Subcommittee Members; Chamber Sub -Committee Members and Arkansas State Highway Dept. Representatives are all invited to attend. There was no further business; the meeting was adjourned.
