CALL TO ORDER: Micheal Green called the meeting to order at..
3:00 p.m.
MINUTES:. Motion by Joe Fennell, seconded by Coy Kaylor to
approve the minutes as amended to include Joe Fennell in
attendance at the July 1, 1991 meeting carried.
BUSINESS
MRGH REPORT: Ed Barham of MRGH reportedthat the Action plan
developed from the MAPS sessions is almost completed and will be
presented to the commission at its next meeting.
Interim advertising was discussed, with a concern by Ed Barham
that some ad commitmentswill be neededprior to the next
meeting. Motion by Joe Fennell, seconded by Pat Henry, to approve
and authorize expenditures for ad commitments that will need to
be made prior to the next meeting. Carried.
Ed Barham presented two ad layouts for the Tour Guides. Those
present agreed to move ahead with the layout based on a picture
of a couple canoeing. Ed indicated that overlay pictures would
be updated
New brochure concepts were discussed with sample brochures showing
a multi -page format. Those present agreed that the concepts of
a multi -page brochure, and multi -brochure should be pursued and
bring those findings back to the commission.
Tracking of Ad response is a key concern to developing future
advertising, and Ed Barham is working with the Chamber staff to
develop a more concise tracking system.
REPORTS:
Financial - Alett Little presentedthe financial informationto
the commission. Chairman Green noted that a budget must be
developed by October for the 1992 fiscal year.
Economic Development - Michelle Galloway reportedthat the staff
is working on the 120th Birthday Party for the U of A, Plant the
Town Red program and the brochure development.
800 Number Review - A copy of the months phone activity was
distributed and reviewed.

OTHER BUSINESS: A report .was presented by Alett Little on
proposed 800 numbers. Motion by Joe Fennell, seconded by Michael
Green, to approve a new 800 number from MCI for the replacement of
the existing number. It was agreed to contract the number
beginning November 10, 1991. Carried.
The- attendance of commissioners was discussed, with a. Consensus
that Michael Green would ask those commissioners, with poor
attendance records, to resign if time did not allow for their
regular attendance.
Ad presentation request was made from the "Today Magazine".
Those present agreed to hear the presentation at a future
meeting.

Enclosed is a copy of the agenda for the next A & P Commission Meeting on August 5,
1991. In your discussion, please include the following information:
1. 1991 Interim Advertising Plan - the schedule of advertising and placement costs for
• the remainder of 1991.
2. Tour Guide Ad Proof -
a) cost estimate for preparation
b) materials deadline
c) publication date
3. Tourism Public Relations Plan - a) cost estimate for plan
b) start up date on project, if approved.
4. MAPS Update - a) date the final draft will be ready for implementation.
b) what the A & P Commission can expect to come from the
MAPS final draft.
c) what additional actions are required by A & P and the
agency to implement the plan.
5. New Fayetteville Brochure Discussion - a) discuss the items that could be
included in the new brochure
b) discuss the possibility of selling
advertising in the new brochure to
help defray costs.
c) proposed completion date.
• 6. Tracking of Ad Responses - get the number of responses (from the Chamber) for the
• various media that have been placed in 1991. (consumer
magazines, group travel magazines, newspaper, etc.).
