OTHERS PRESENT: Richard Shewmaker, Alett Little, Michelle Galloway, Susan Stirewalt, Gary Weidner, Judy Hufaker, Ben Mayes, Melissa Carroll ABSENT: Nathan Combs,Bill Martin, Jim Waselus 1. The meeting was called to order by Mike Green. 2. A motion was made. by Coy Kaylor and seconded by Fred Vorsanger to approve the minutes from the last meeting. The motion carried. 3. A sample of the "display booth" was shown to the commission. It was estimated that the cost was going to be about $6,000 for the booth (including production and design). The display will be 8 feet by 10 feet and will show pictures of activities and attractions in Fayetteville. The Tour Guide theme will be used. "Fayetteville is Fantastic" will be printed at the top. A motion was made by Coy Kaylor and seconded by Pat Henry to elect Steve Ward to be the person to set d 7regulatx�.ns_regarding p acement and use of the display unit as well as any fee s` schedules Cha may be needed. a er,will store the display unit The motion carried. 4. The commission would like to have the 1-800 number to the Chamber and have a report of the calls coming in as well as information-on-where.the,calls-are-coming from 5. Discussion regarding the budget was quite lengthy. The commission noted that the proposed budget of $336,000 is up 10% from last year. There was some debate over whether the budget increase for publications was really justified. The commission would like information supporting the increase. This information should include cost for each response per publication. Fred Vorsanger noted that this information was crucial since this was the biggest item for expenditure. Coy Kaylor made a motion that was seconded by Mike Green to approve the $336,000 proposed budget but to reserve the right to change line item amounts at a later date. The motion carried. 6. The current advertising agency is under a contract that will expire on 12-31-90. Three weeks will be used to solicit new proposals. The City will set up a Selection Committee that • • will receive proposals and conduct interviews. The Selection Committee will recommend the firm they think should be chosen and the A & P Commission will have to approve their selection. A motion was made by Fred Vorsanger and seconded by Pat Henry to let Mike Green sit on the Selection Committee as a rep- resentative from the A & P Commission. The motion carried. 7f, --Discussion about the lack of interest in the Autumnfest Chicken Cook -Off was brought to the attention of the commission. The fact that Magic 107(5 sponsored the cook - off possibly took away interest froth -other media sources to promote it. Also, lack of community support and organization appears to be hindering the growth of the festival as well as keep it the quality festival it needs to be. The commission believes that the additional staff hired by. the City should help strengthen the festival in troubled areas. Commission members were made aware that there are funds in the budget -to=heir=with=Special`Events such -as Autumnfest and the -Old Main Rededication. 8. The meeting was adjourned.
