Mayor Jordan called the meeting to order. Present: Pete Reagan, Gene Warford, Marion Doss, Ronnie Wood, Sondra Smith, and Mayor Jordan. New Business: Election — Ballots Opened Mayor Jordan: The only business we have today is the election and counting the ballots for those who have been nominated to the board of trustees. Sondra Smith: Mayor, we need to disclose to the board that there were about five or six ballots opened downstairs by our mailroom with the automatic mail machine. We talked to them and they said they usually open white envelopes. We ordered new letterhead and envelopes and now we have ivory linen. Mayor Jordan: Hopefully we won't have that problem in the future but I wanted you all to be aware of that. We have not opened any ballots prior to the election. Sondra Smith: They were not taken out of the envelopes. We noticed the envelopes were sliced when they came to our office. The City Clerk and the Deputy City Clerk opened each ballot. The ballots and envelopes were shuffled according to the ballot procedure that was approved by the Board. The ballots were read and counted. Sondra Smith: I have the same number of votes for each one. Mayor Jordan: I do too. 113 West Mountain 72701 (479) 575-8323 TDD (Telecommunications Device for the Deaf) (479) 521-1316 Special Firemen's Pension and Relief Fund Board of Trustees Meeting Minutes May 19, 2011 Page 2 of 2 Pete Reagan: I have 19 and 20. Marion Doss: I have 20 for Wood and 19 for Mullens. Pete Reagan: It doesn't really matter because one is running for one position and one is running for the other. Sondra Smith: We will go back through and make sure. Ronnie Wood: I'm not worried about it. Pete Reagan: I'm not either. Kit Williams: Congratulations. Mayor Jordan: Ronnie Wood and Dennis Mullens have been elected to the Firemen's Pension Board of Trustees. Do we need to ratify the election by a motion and a second? Kit Williams: Why not. Pete Reagan: I don't think we have to. Kit Williams: You don't have to but you might as well. Sondra Smith: I don't think you have to. Pete Reagan made a motion to adjourn. Meeting adjourned at 3:40 p.m. 113 West Mountain 72701 (479) 575-8323 TDD (Telecommunications Device for the Deaf) (479) 521-1316
