August 29, 1991
Members present: Cam Crouch, Bobbye Hay, Charles Kirchen, Jeff Koenig and
Carol Phillips; Linda Harrison, Fayetteville Public
Library Director
Bobbye Hay reported that she had asked for a legal opinion as to whether the
Board could legally hold a fund drive. She had been advised that it could be
done.
Bobbye Hay spoke to Carolyn De Lisle, President of Friends of the Library, and
she is willing to discuss the fund drive and their assistance to the library
at their next meeting September 19, 1991. Friends have about 600 on their
mailing list. There are approximately 1200 on the Chamber of Commerce mailing
list. She also contacted Mailco who can handle the complete project for .2975
each mailing. This would be approximately $600. for the total project. The
Friends have some money left at the post office in their meter that they might
be willing to let us use.
The Board discussed speaking at civic groups about the need for additional
money and the upcoming fund drive. Jeff Koenig suggested that a list be made
up of individuals and civic groups, distributed to Board members and then they
decide who they wish to contact.
When the lists from the Friends and the Chamber of Commerce are received they
will be weeded for double entries and then letters sent to groups and an
individual letter sent to private individuals for direct solicitation. Mr.
Kirchen will call the Fayetteville School Administration offices and check as
to when the PTA's are meeting so someone can be available to address these
meetings. Jeff Koenig volunteered to address the Butterfield School meeting.
It was decided that the costs to fund the mailing fund drive will be taken out
of office supplies. It will be called Fund Drive expenses and when funds are
received they will be put in Fayetteville Public Library Expansion Funds.
Carol Phillips suggested that we have a formal ground breaking ceremony and an
announcement at that same time that we will be raising funds for our unfunded
portion of the project. It was decided to have the groundbreaking ceremony
on September 23, 1991. With the groundbreaking on the 23rd we can plan on
newspaper coverage on either Wednesday the 25th or Sunday the 29th, with our
letters to follow in the next week.
Jeff Koenig will contact the banks and see if they are willing to put an
insert in their outgoing statements. He will also contact John Lewis at the
Bank of Fayetteville and ask for his assistance.
It was decided to make bookmarks to be handed out when books are checked out.
Also we will apply to have a booth at the Octoberfest which will be held on
the downtown square on October 5, 1991. The booth to be manned by Board
members and assistance by the Friends if possible. Linda Harrison will
contact the Chamber of Commerce for booth space. Jeff Koenig offered to
construct a booth.
Bobbye Hay presented a proof for a letter for mailing. The Board made
revisions and agreed upon a final proof. Llnda Harrison will format the
2.
letter and give it and letterhead to Jeff Koenig for typing and printing on a
laser printer. Mr. Kirchen provided a quote by Malcom Forbes to be used as
the final paragraph in the letter.
The next meeting of the Board is September 9, 1991. They will meet at
3:OOp.m. for the annual review of the Library Director and at 4:OOp.m. for the
regular meeting.
Meeting adjourned at 5:20p.m.
Respectfully submitted,
Ire
