Minutes of the Regular PRAB Meeting, held August 1, 1988, were approved. SOCCER ASSOCIATION - Henizelmann, Kline PRAB is invited to look at Asbell and Walker Park soccer fields. II. Responsibility for payment of soccer field water bills, both current and future, will be determined by the Parks Dircal-al. (h141•Wa .( 829, It was the consensus of PRAB that all future correspondence and information from PRAB concerning the Soccer Association will be forwarded to the President of the Association, so that the entire association will be apprised of timely data. MEETING - August 29, 1988 Page 3 BUDGET Edmonston PRAB reviewed and revised capital items for the Budform "C" Index. * VI. PARKS VIDEO - Lucas PRAB agreed that the Parks Video needs to be cut down. Open Channel invites PRAB to critique it there, and/or the program will be presented again to the public on Tuesday, September 13, at 7:30 p.m., and Thursday, September 14, at 1:00 p.m. VII. ROLLET STUDY - Ednionston The Rollet Study includes several types of surveys, Parks and Recreation Assessments, Community Analysis, a follow-up lookinto goals, followed by an Action Plan, with some in-house work, for around $3,500. * PRAB consensus: Add the Rollet Study to New Programs. VIII. SURVEY RESULTS 12 teams entered. 3 were local teams and not surveyed. Team Manager/Coaches were asked by Park Staff to estimate the information on the survey. Percentage of teams selected: 75% 1. Players Attending 2. Team Spectators Attending AVERAGE TOTAL PER TEAM 121 13 98 11 3. Miles Traveled to Tournament 3093 344 (Round Trip) 4. Money Spent for Gasoline $1,093 121 5. Number of Nights Lodged in 15 2 Fayetteville (One Team -0-) 6 Cost of Lodging $3,958 $440 (One Team -0-) 7 Cost of Meals $2,117 $423 (Four Teams -0-) 8 Cost of Beverages $100 (Eight Teams -0-) 9. Rating Facility GOOD 10. Suggestions: Dislike grass infields. Outfield field dig needs improving. • II. CONCLUSIONS Assuming this was a true sampling of the teams and spectators attending the State "c" Tournament, the following assumptions were made: 1. Number of out-of-town softball players attracted to Fayetteville: 13 x 9 Teams = 117 Players 2. Number of out-of-town softball spectators attracted to. Fayetteville: 11 x 9 Teams = 99 Players 3. Total number of players and spectators attracted to Fayetteville for the State "C" Slowpitch Soft- ball Tournament: 216 Players and Spectators 4 Teams traveled an average round trip of 344 miles to attend the state tournament in Fayetteville with an average of $121 spent, per team, on gasoline. *Money predicted to be spent for gasolone: $121 x 9 Teams = $1,093.00 5. For a State Tournament consisting of 1 day of play, teams usually stayed 2 nights in Fayetteville, with an average of $440 spent. per team, on lodging. *Money predicted to be spent for lodging teams for a state tournament: $440 x 9 Teams = $3,958.00 6. Average cost of meals for a team was $423. *Money predicted to be spent for meals by teams at a state tournament: $423 x 5 Teams = $2,117.00 7. Average cost of beverages for a team was $100. *Only one team gave an estimate for this cost. III. STUDY ANALYSI S Based upon the survey conclusions, the following revenues were predicted to be collected in Fayetteville while hosting the State "C" SLowpitch Softball Tourn- ament on August 6, 1988. Assuming thes results adequately represent revenues collected in a city while hosting a state tournament, further predictions can be made with the results of the average cost per team. -2- STATE "C" SLOWPITCH SOFTBALL TOURNAMENT - AUG. 6, 1988 (CONT'D) III. STUDY ANALY S I S (Cont'd) 1. A total of 216 players and spectators were attracted to Fayetteville for the State "C" Slowpitch Softball Tournament August 6, 1988. 2. Total revenues spent on a 1 day tournament: $7,268 Lodging: 3,958 Meals/Beverages: 2,217 Gasoline: 1,093 (Estimated: 1/2 of predicted $1,093 to assume people filled up with gas before leaving home.) This survey did not included cost of recreation and merchandise purchased in the City. These would bring in a substantial amount of revenues into the City in addition to the predicted $7, 268 spent for the State Softball Tournament. Addendum "A" - 829-88 MEN'S INDUSTRIAL CLASS"A" & "B" STATE TOURNAMENT LAKE FAYETTEVILLE SOFTBALL COMPLEX August 19,;20, 21, 1988 I. SURVEY RESULTS 40 teams entered. One team was local. 25 teams were randomly selected from the 39 possible teams. Team manager/coaches were asked by Park Staff to estimate the information on the survey. Percentage of teams selected: 62% AVERAGE TOTAL PER TEAM 1. Players Attending 319 13 2 Team Spectators Attending 280 12 3. Miles Traveled to Tournament 8,134 326 (Round Trip) 4. Money Spent for Gasoline $ 4,932 $ 198 5. Number of Nights Lodged in 43 2 Fayetteville (Two Teams -0-) 6. Cost of Lodging $13,667 $ 595 (Two Teams -0-) 7. Cost of Meals $ 9,770 $ 390 8. Cost of Beverages $ 4,035 $ 169 9. Rating of Facility EXCELLENT. 10. Number of out-of-town softball players attracted to Fayetteville: 13 x 39 Teams= 507 Players 2. Number of out-of-town softball spectators sttracted to Fayetteville: 12 x 39 Teams= 468 Spectators 3. Total number of players and spectators sttracted to Fayetteville for the Men's Industrial State Tournament: 975 Players and Spectators 4. Teams traveled an average round trip of 326 miles to attend the state tournament in Fayetteville i with and average of $198 spent, per team, on gasoline. *Money predicted to be spent for gasoline: $198 x 39 Teams= $7,722.00 5. For a weekend tournament consisting of 3 days, teams usually stayed 2 nights in Fayetteville, with an average of $595 spent per team on lodging. *Money predicted to be spent for lodgin teams for a state tournament: $595 x 39 Teams= $23,205.00 6. Average cost of meals for a team was $390. *Money predicted to be spent for meals by teams. attending a state tournament: $390 x 39 Teams= $15,210.00 7. Average cost of beverages for a team was $169. *Money predicted to be spent for beverages by teams attending a state tournament: $169 x 39 Teams= $6,591.00 Total average of money spent on meals and beverages per teams was $559. *Total money predicted to be spent for meals and beverages while attending a state tournament: $559 x 39 Teams= $21,801.00 -2- MEN'S INDUSTRIAL CLASS "A" & "B" STATE TOURNAMENT- AUG. 19-21,88 (CONT'D) STUDY ANALYSIS • Based upon the survey conclusions, the following revenues were predicted to be collected in Fayetteville while hosting the Men's Industrial Class "A" & "B" State Tournament on August 19, 20, 21, 1988. Assuming these results adequately represent revenues collected in a city while hosting a state softball tournament, further predictions can be made with the results of the average cost per team. 1.
