Board of Trustees Regular Meeting
August 16, 1999

Trustees present were M. Thomas, S. Singleton, L. Brewer, M. Goff, M. Roberts, L. Gottsponer, and M.
Lawrence. Staff members present were L. Schaper, Steven Thomas, Mary Saxon, Cathy Rew. Press
present were: Chantal Rice (NWA Times), Charles Allison (MN), and Laura Kellams (AR DG).
The meeting was called to order at 4:35 p.m.
1. L. Gottsponer moved and M. Goff seconded a motion to approve the minutes from regular
meeting July 19 and special meeting August 5. M. Thomas noted that a line of the July 19
minutes which said "M. Thomas moved to adjourn the meeting..." should be removed. All
voted aye.
II. Director's report: L. Schaper shared information about the upcoming play °Second to
None" written by former Library Trustee Nancy Hendricks, PhD.; library card sign-up
month activities; an offer to the Friends of space in the front of WCLS for a bookstore; her
work with N. Hendricks to secure a kiosk with information about "The Lovely Mural", and
her efforts with F. Sharp to have a poster produced. It was agreed that a letter be sent to
the artists responsible for "The Lovely Mural° expressing the Board's pleasure and
gratitude for their work. Statistics were reviewed and Schaper noted the double-digit
increases in almost all areas. The increase in use of the Computer Center was
highlighted. M. Thomas suggested a letter be sent to the Gates Foundation thanking them
for the computers. All agreed. M. Roberts noted how much he appreciates the reference
staff and the great service he receives.
III. Financial report: In switching from Quickbooks to QuickbooksPro, a change was made
from cash to accrual causing some problems. C. Rew said the problems had bee fixed.
A review of the Otwell Fund written by Carl Koffler at the request of M. Thomas was
passed out to Trustees. M. Thomas appointed a committee of L. Schaper, C. Koffler, and
M. Goff to review the Otwell investments.
IV. Service reports: Children's: L. Greenwood was on vacation so L: Schaper mentioned the
fine work being done by Shawn Walker in organizing a library lock -in. She thanked M.
Lawrence for his legal help with permission slips. L. Schaper also spoke about P.
Lawrence's efforts to clarify the required criminal checks for any volunteers and staff
working with children. She also mentioned the volunteer efforts to extend the "lending
hands° program to nursing homes and to create a read -aloud program. L. Schaper said
that Pam was receiving about 5-12 volunteer applications a week and that we didn't have
enough of Pam's time and space to accommodate all who want volunteer at the library.
The volunteer program has been a huge success. S. Thomas spoke about the programs
planned for the fall.
V. Budget ¥2K: A draft budget for submission to the City of Fayetteville was distributed. M.
Goff moved and L. Brewer seconded a motion to approve the budget. All voted aye.
VI. S. Singleton moved and L. Gottsponer seconded a motion to adjourn. The meeting
adjourned at 5:40 p.m.
