Adjourn • • ADVERTISING AND PROMOTION COMMISSION REGULAR MEETING July 11 , 2005 Commissioners Present: Dan Coody, Neal Crawford, Bob Davis, Pat Gazzola, Don Man, David McGeady, and Maudie Schmitt. Commissioners Absent: None Staff Present: Marilyn Heifner Chairman Pat Gazzola called the regular monthly meeting of the Fayetteville Advertising and Promotion Commission to order on July 11 , 2005 at the Fayetteville Town Center at 2:00 p.m. MINUTES Moved by Davis, second by Schmitt to approve the minutes of the June 13, 2005, regular meeting. Motion carried. HMR REVENUES HMR revenues for June were $ 162,754, a 12.21 % increase over last June. Hotel revenues were up 14.71 % and restaurant revenues were up 10. 10%. • FINANCIAL REPORT Larry Bilbrey of Scarbrough and Murtishaw presented the financials for the month of June. Moved by Davis, second by Coody to approve the financial statements. Motion carried. CITY ATTORNEY City Attorney reported collections of $8,109.68 in June. Year to date collections are $36,954.68. Aldermen have suggested the City consider a business license program. Williams said the HMR business license could be a logical first step or test program if the alderman wish to determine the feasibility and advisability of a broader license requirements. He presented a proposed ordinance for HMR business license. DIRECTOR'S REPORT Marilyn Heifner reported an 84% increase in advertising inquiries in June over last year and a 50% increase in year to date. Internet per day average visits are up 64%. Director's activity report highlights included coaches welcome reception at the Town Center, America in Bloom judges tour, KFSM Fridays on the Highways show with Jared Broyles, and Fayetteville featured on the Welcome to NWA segment on KNWA. • The AMP is consistently showing out of town people purchasing tickets. The Nashville Country Tour had more out of town ticket sales than in-town tickets. • CVB REPORT Allyson was attending the ASAE annual meeting in Hot Springs. She serves as the associates' representative on the ASAE Board. She presented bids for the Arkansas State Human Resources, Arkansas Library Association and the Arkansas Cancer Coalition conferences. The Brumley Gospel Sing is coming in August. Real Deal on the Hill, a highly successful event in 2005 will be bigger in 2006. TOWN CENTER REPORT Willistine Smith was out on a sick day. Marilyn reported that the executed sales contracts were up 137% in June, 35% year to date and collections were up 15% during the month of June. A decrease in collections over last June was due to the Wal-Mart shareholders not.having their spouse's event this year. Commissioners viewed and discussed wedding guide for Town Center. CLINTON HOUSE MUSUEM Joseph Barnes presented his activities to the Commissioners including getting the house ready and meeting with individuals gathering materials. The Conditional Use Permit was approved by the City Planning Commission. AGENCY REPORT • Brian Clark said the internet was still proving to be a great tool for Fayetteville. The Wedding Guide was a great tool for the Town Center. They had completed a mid-year review with Marilyn and were focusing on directions for the remainder of the year. NEW BUSINESS Agency Review Marilyn reported on the work of Sells Clark for the first half of the year. She told the commissioners that the three year contract with Sells Clark was up for renewal. The Commissioners have the option to renew the contract of go through a new agency selection process. Heifner recommended renewal of the agency contract. Moved by Coody, second by Davis to renew the contract for a three year period, renewable annually. Motion carried. There being no further business, the meeting was adjourned. YTD collections to $187,224.61 representing a 19% increase. Sales for July 2005 compared to July 2004 represents a 26% decrease due in large to slower Christmas parties booking. We are actively contacting them and getting contracts out. Year to Date collections have increased by $29,333.23 over 2004 YTD collections. We have reached 58% of our 2005 goal ($325,172.00). • Marketing, Sales & Public Relations: • Local artists are displaying their art in the Town Center lobby. Thomas McLarty is spearheading and scheduling the exhibits. We are experiencing a heavy flow of traffic viewing the work, particularly on weekends. • Fayetteville High School graduates from 1963-1967 held a reception here July 29th. Great compliments and pride was shared in the Center being in Fayetteville. Graduates living in California, New York, Florida, Colorado, New Mexico, just to mention a few, were in attendance. Totemeier Horticulture Center, along with other planned amenities. The funds were to be expended in 2005. Subsequent events preclude our reasonable completion within this fiscal year: • a. Revision and completion of land plat, building exterior/interior designs b. Delays in the. normal City Planning/Permit process, in view of the above c. Hiring a construction company in whom BGSO has full confidence d . Hiring a full time Director rather than operating 100% with volunteers e. A "Hurry up and finish by October" approach is a formula for failure BGSO now plans an early Spring "Grand Opening & Dedication", by which time not only will the Horticulture Center be completed, but also the nine demonstration gardens, the great lawn and other evidences of a presence. will be in evidence. It just makes good sense. Therefore, we respectfully request A&P Commission to carry forward the allocated $20,000. An alternative might be for BGSO to receive the funding in fiscal 2005 to put in an interest-bearing trust, with full accounting very much as we currently are doing with the $750,000 infrastructure funds from The City of Fayetteville. Finally, the Bgso board and membership were very pleased to be recognized by your recent request for our participation in the Clinton's Fayetteville home project.
