Faye Jones brochure 2005 Visitor's Guide • • ADVERTISING AND PROMOTION COMMISSION REGULAR MEETING May 9, 2005 Commissioners Present: Bob Davis, Dan Coody, Neal Crawford, Pat Gazzola, and Maudie Schmitt. Commissioners Absent: Don Marr and David McGeady Staff Present: Willistine Smith, Allyson Twiggs and Marilyn Heifner Chairman Pat Gazzola called the regular monthly meeting of the Fayetteville Advertising and Promotion Commission to order on May 9, 2005 at the Fayetteville Town Center at 2:00 p.m. MINUTES Moved by Coody, second by Davis approve the minutes of the April 19, 2005, regular meeting after confirming funding request amounts. Motion carried. HMR REVENUES HMR revenues for April were $ 158, 150.06, a 6.94% increase over last April. Hotel revenues were up 4.25% and restaurant revenues were up 15.98%. • FINANCIAL REPORT Larry Bilbrey, Scarbrough and Murtishaw, presented the financials for the month of April. Moved by Coody, second by Davis to approve the financial statements. Motion carried. CITY ATTORNEY City Attorney reported collections of $2,517.98 in April. Year to date collections are $24,276. 10. DIRECTOR'S REPORT Marilyn Heifner reported a 50% increase in advertising inquiries in April (5,303) and a 102% increase in Internet per day average visits (637). Year to date increase in inquiries is 140%. Arkansas Music Pavilion has sold the first 200 tickets and 53 of those are from out of town. Their promotion begins this week. A conditional use permit has been filed for the Clinton House Museum. Marilyn has talked with Bob Besom about the display that Shiloh Museum has on Clintons. Two interns will be on the Town Center staff this summer — Taryn Smith and Travis Young. • The E. Faye Jones brochure will be delivered this week. • CVB REPORT Allyson Twiggs reported that Real Deal on the Hill was a great success with 70 teams and a number of college coaches coming into town. The CVB honored two as Tourism People of the Year — Rita Ward (Terra Studios) and Tony Pusey (Sleep Inn). Shelly has been on staff 6 months now and has landed 8 different conventions. She has met with numerous departments on campus. TOWN CENTER REPORT Willistine Smith reported that the executed sales contracts were up 30% and collections were up 20% during the month of April. Average per event sales was down slightly because of booking smaller events. Year to date sales contracts are up 23% and collections are up 31 %. AGENCY REPORT Brian Clark said inquiry numbers are strong due to publicity in the marketplace, UA athletics and high school athletics. The web results are for 637 unique visits, another record broken. The Visitor's Guide is on the press today. They had color correction issues. It should be delivered next week. OLD BUSINESS • Clinton House Museum Marilyn reported that the date of possession has been moved to June 1 . She and Allyson are in the process of applying for a conditional use permit and sign permit and are receiving applications for Museum Manager. NEW BUSINESS Sale of Computers Marilyn asked permission to sell old computers for $ 100 each. Moved by Davis, second by Schmitt to sell computers. Motion carried. This rate of collection is running somewhat ahead of the last couple of years. How It Works Reservation Methods • Real-time reservations: TravelHERO is interfaced with most major central • reservation systems through the Worldspan GDS, with secondary connectivity through Pegasus. This provides all GDS properties with automatic real-time reservations from the launch of the program . These properties are identified by green checkmarks in the directory. TravelHERO only collects the standard commission normally paid to travel agents for completed reservations. • Request-based reservations: Properties that are not real-time through TravelHERO will receive reservations through a fax/phone system with 24 hour turn-around time. Visitors will submit a reservation request online and a fax will be automatically generated to the property to check availability and rates. If the property faxes back a response to TravelHERO indicating that they can accept the reservation, TravelHERO will call the property by phone to provide the customer's contact and credit card information . All confirmed reservations are credit card guaranteed . Computer and Internet access are not required for properties to participate. The Reservation Process Once implemented, web site visitors will take the following path when making reservations : • Visitors who click on a link in your web site to TraveIHERO will be presented with detailed information and photos of your member properties. • By clicking the " Rates & Availability" button, visitors will be transferred to the • reservation wizard . Visitors will then be led through the process of completing the reservation—selecting dates, room types and rates. • • When visitors click the " Make Reservation" button, their reservation will be processed . In the case of real-time reservations, a confirmation number will be displayed in their browser and a confirmation email will be sent.
