Fayetteville Parks and Recreation received bid for 35 and over Masters World Softball Tournament — September 2000 0 • GROUP: ADVERTISING & PROMOTION COMMISSION DATE: November 8, 1999 PRESENT: Heather Daniel, Joe Fennel, Fred Hanna, Alex Jerde, Curtis Shipley, Jim Waselues, and Marilyn Johnson ABSENT: Carl Maguire The regular meeting of the Advertising and Promotion Commission was called to order at the Chamber of Commerce conference room at 2:00 p.m. by Commissioner Joe Fennel. MINUTES Moved by Jerde, second by Shipley to approve the minutes of the September 14 and October 11 meeting. Motion carried. FINANCIAL REPORT Kevin Crosson presented the financial report. Expenses in October were $48,896 with major expenditure for advertising. Collections for October were $95,824, up 0. 18% over. last October. Year to date collections are $963,824, up 6.23%. • Moved by Shipley, second by Daniel to approve the financial report. Motion carried. CONVENTION AND VISITOR DEVELOPMENT REPORT Marilyn Johnson reviewed activity report in agenda packet. She mentioned activities in conjunction with the March of the Century parade and Veteran's Day observances. ADVERTISING AGENCY REPORT No report. Creative will be presented in December. OLD BUSINESS Town Center Legal Fees Moved by Shipley, second by Jerde to pay Ken Shemin for representing the A & P Commission in the Town Center lawsuit. Statement for services and costs was $9,327.50. NEW BUSINESS Job Descriptions for Town Center Discussion was presented regarding structure of all personnel involved in running Town Center and in carrying out Advertising and Promotions for the City of Fayetteville. Various scenarios were presented. It was the consensus that a Sales Manager should be the next person hired. Who that person reports to was discussed. A brainstorming session for Town Center personnel • organization will be held on Wednesday, November 17 at 10:00 a.m. at the Chamber. • Funding Requests for 2000 Fennel presented $256, 184.20 in requests received by the Commission. The Committee recommended funding $82,900. A list is attached. Moved by Daniel, second by Jerde to approve the recommendations of the committee. Motion carried. Peace Prayer Foundation Written proposal was presented to Commissioners regarding this sculpture for consideration for the Town Center Plaza. There being no further business, the meeting was adjourned. Sales manager job is critical. We need the sales person to work through the existing structure. Later on, maintenance might be contracted with the city. Parking could be run by the city. There are other things the city could do and perhaps we could trade off with them. Fennel said it would make sense to leave the sales manager at the Chamber, supervised by Marilyn and later on to move them to the Town Center. • Jerde advocated formation of a CVB (Convention Visitor's Bureau) out of the Town Center. Fayetteville is ready to formulate a CVB. In his former hometown, they hired a sales manager 3 months out for a new convention center and it sat for 8 months. They started with 3 sales people, now have a staff of 18 . It is the nature of the business to plan 1 -2 years out. Shipley suggested bringing the sales person on the first quarter and asked whom they should report to. Maguire said it was a natural marriage for the sales manager to be an outgrowth of the Chamber. Leave Marilyn alone. Add the sales manager onto the existing contract. Later tic on to the city for maintenance. Minimize the number of people the A & P have to deal directly with. Contract for as much as possible. Moved by Shipley, second by Jerde to proceed to expand the Chamber of Commerce contract to include the sales manager fee and expenses and that they are brought on by March 1 . Motion carried.
