PRESENT: Heather Daniel, Joe Fennel, Fred Hanna, Carl Maguire, Curtis Shipley,
Jim Waselues, and Marilyn Johnson
ABSENT: Alex Jerde
The regular meeting of the Advertising and Promotion Commission was called to order at
the City Hall Council Chambers at 2:00 p.m. by Chairman Joe Fennel.
MINUTES
Moved by Shipley, second by Daniel to approve the minutes of the March 8 meeting with
the correction that Jim Waselues was absent from the meeting. Motion carried.
FINANCIAL REPORT
Steve Davis presented the financial report. Expenses in March were $ 16,259.
Collections for March were $91 ,271 , up 12.94% over last March. Year to date
collections are $269, 153 up 9.09%.
• Moved by Shipley, second by Maguire to approve the financial report. Motion carried.
CONVENTION AND VISITOR DEVELOPMENT REPORT
Marilyn Johnson reviewed activity report in agenda packet. She worked with 7 potential
meetings and conventions and 3 group tours. Activities for The History Channel Great
Race on June 11 will include a lunch stop, cruise night and street dance for local people
and a car show on June 12.
Inquiries are up for the month and year-to-date.
ADVERTISING AGENCY REPORT
Susan Stirewalt reported that spring publications are working as good or better than
anticipated. She is researching a website for tourism only and it appears that all costs
will be able to be included in this year's budget.
OLD BUSINESS
TOWN CENTER
Richard Alderman reported that the plans are on the street with bids due on Thursday,
April 29 at 4pm. Solicitation was given to 13 general contractors and so far 4 bidders
have picked up plans.
Alderman indicated that he might shift bid date by a day or two if it works to our
• advantage since there are several bids out on the street due the same time. His office will
send solicitation to subcontractors this week.
• In the plans are two deductive alternatives 1 ) lowest level of parking and 2) a group of
free standing kitchen equipment.
Shipley asked that commissioners be notified of time and date of bid opening.
PERSONNEL
Marilyn reported that she was gathering data and working with Don Bailey of the City
personnel department on the executive director description and should be able to present
it to the commission in May.

Attached is the official Bid Tabulation for the above project. The City of Fayetteville and the
Advertisine & Promotion Commission will be evaluatiniz the bids to determine the final
direction for acceptance, rejection or possible negotiation of the bids next week. At this time
the apparent low bidder, based on acceptance of all three deductive alternates, would be
Nabholz Construction. Oakridge Builders would be the apparent low bidder if deductive
alternate 3 is not taken.
• Bid Documents (plans and specifications) must be returned to this office in good condition
with-in seven (7) working days, in order for us to return your plan deposit.
The City of Fayetteville and the Advertising & Promotion Commission appreciate the work
and time spent by all the general contractors, sub-contractors and suppliers in putting
together these bids. The City of Fayetteville bids several major construction projects each
fiscal year and would appreciate you interest in other up-coming projects. We will keep you
informed as to the schedule for future work.

G, Background and history.
This will be the first NTA Y13 event in Fayeltetille. MAYB has been operating youth tournaments in
May, June, and July since 1993. Toumamcnts have grown in size each year. In 1998 over 500 teams
participated in the 18 arca tournaments in nine states. Each regional tournament will attract 80-120
teams. Last year, 330 teams from iG slates participated in the Newton, KS, toumanrcnt, which was ilia
largest MAYB tournament last year.
7. Expected visitor draw (radius/mileage). Include prior year visitor count, if applicable.
• L-xpecied visitor draw is approximately 2000.2200 people over a 3-day pn'iod. Entering teams will
Travel between 200-300 miles. This will be the first year for Fayetteville to host a MAYB tournament.

• 8. Imagct Is file organization or event identifiable with an attractive and unique feature of our
arca?
Not a graphical image, but a structural image and unlike most teams, our team is formed of
Fayetteville area girls (ages 12 and under).
9. Marketing Plan; Advertising, public relations, sales.
Newspaper ads, flyers, website, brochures, mail, phone calls, and promotion through contact with
coaches at previous tournament situs. MAY13 perso»nel at the headquarters in Kansas handles
mailings, brochures, and websites.
10. Anticipated media exposure
Local newspapers
11 . Marketing plan budgets: Advertising, public relation, sales, include prior year budget and
expenditures (all funding sources). ,
We are responsible for newspaper ads, flyers, conuibutions, word-of-mouth, and phone contact.
MAYIi personnel at the headquarters in lianas will handle tlnailings, brochures, and websites. This is
the first MAY13 tournament to be held in Fayetteville.
• 12. Funding request: State specific purpose and amount.
The purpose of this funding request is to support he tournament, the vouch of Fayeucville and the city
of Fayetteville. Please sec attached for the amount.
13, Fill] financial disclosure of all revenues and expenses trust be provided. A certification
disclosure forst will be executed by applicants governing body. Financial disclosure is required
of the requesting organization's regular annual budget anis to be provided in the application for
funding for the special event. It is not the A&P Commission's intent to fund requests that could
be funded by the requesting organization.
This is the first year for the MAY13 tournament to be held in Fayetteville, AK This is a startup year
and will be our first opportunity to generate revenue. Through contributions from area
businesses/residents and parental support, we were able to provide uniforms for the team. please see
attached for amount of expenses.

eve will try to turn this tournament into an annual event. After this year, we

The talk of the town has been the NCAA BASEBALL REGIONAL
TOURNAMENT scheduled for May 28th - 30th, The Bid for this must be submitted by
May 14th. We are now in the process of trying to raise much needed funds to pay for
