Adjourn Informational Items — Trolley Operations Report • GROUP: ADVERTISING & PROMOTION COMMISSION DATE: January 11 , 1999 PRESENT: Heather Daniel, Joe Fennel, Fred Hanna, Alex Jerde, Carl Maguire, Curtis Shipley, Jim Waselues, and Marilyn Johnson ABSENT: None The regular meeting of the Advertising and Promotion Commission was called to order at the City Hall Council Chambers at 2 :00 p.m. by Chairman Joe Fennel. MINUTES Moved by Shipley, second by Maguire to approve the minutes of the December 14. Motion carried. INTRODUCTION OF NEW COMMISSIONER Chairman Fennel introduced Heather Daniel as the new commissioner representing the City of Fayetteville. ELECTION OF CHAIRMAN FOR 1999 • Moved by Shipley to elect Joe Fennel as Chairman for 1999, second by Jerde. Motion carried. FINANCIAL REPORT Kevin Crosson presented the financial report. Expenses in December were $27,324. Collections for December were $88,264, up 11 .04% over last December. Ending year total collections are $ 1 ,094,518 a 10.23% increase. Moved by Shipley, second by Jerde to approve the financial report. Motion carried. CONVENTION AND VISITOR DEVELOPMENT REPORT Marilyn Johnson reviewed activity report in agenda packet. She emphasized inquiries being below 1997, but Internet inquiries were up. Two publications, Choose South for Retirement and Tailgate Travel Guide to SEC Football will focus on Fayetteville. ADVERTISING AGENCY REPORT Susan Stirewalt reported that agency is working on first quarter press release highlighting outdoor activities especially golf. Fennel inquired about the website and its unlimited potential. Susan said more and more publications are cooperating with web. Waselues said this is the future of information • • OLD BUSINESS TOWN CENTER OPERATION Discussion with Richard Alderman regarding ownership of the Town Center (the City) and owner's representative needing to go through the planning process. Joe Fennel as Chairman said he would be willing to attend when needed and that Marilyn should be at all meetings. Since the A & P will be running the Town Center, Shipley said it was not too early to develop job descriptions for the manager and staff and develop a process for hiring. Alderman said the project was still on schedule and would be ready to go out for bidding the end of March. Large-scale development plans will go into the City Planning office next week. A subcommittee was appointed to put discussing staffing, timeline for hiring, salaries, etc. Members will be Jerde, Shipley, Waselues, and Fennel. Daniel expressed interest in sitting in on meetings. NEW BUSINESS BUDGET ROLLFORWARDS FOR 1999 Brian Swain presented budget rollforwards for the following: Town Center Architect Contract $2672433 • Convention Support 13100 Special Projects — UA Museum Brochure 52724 Square Gardens 375 Special Projects — First Night 71000 BMA Public Notification Contract (approximately) 7,500 Moved by Shipley, second by Daniel. Motion carried. Daniel thanked the A & P for support of First Night. She said it was a great success and many people volunteered and participated. STATE HIGH SCHOOL CHAMPIONSHIP EVENT Arkansas Activities Association has changed bidding requirements for 5 state championship games in 3 sports (Baseball, Fast Pitch softball, and Slow-pitch softball) to be played all in the same city on May 15. Approximately 30,000 people are expected. Request is for A & P Commission to underwrite $3,000 guarantee if we are selected to host events. Moved by Shipley, second by Jerde. Motion carried. There being no further business, the meeting was adjourned.
