MONTHLY REPORTS : MINUTES It was moved by Shipley , second by Jerde to approve the minutes of the June 9 meeting . Motion carried . FINANCIAL Ben Mayes presented the financial report for June . The HMR collections were $ 84 , 417 , an increase of 5 . 688 over June 1996 • collections . Total collections year to date are $ 483 , 404 , a 5 . 428 increase . June expenditures were $ 48 , 775 . Moved by Shipley , second by Williams to approve the June financial report . Motion carried . ACTIVITY REPORT Marilyn Snapp presented the April activities of Convention Visitor Development . She discussed the Great Race and working with individual hotels to recruit business specifically for them . Moved by Hanna , second by Shipley to approve the Convention Visitor Director report . Motion carried . AGENCY REPORT Susan Stirewalt reported for Blackwood Martin that responses are down and could be attributed to Midwest Living which was unusually high last year and AAA Car & Travel which ceased publication this year . Brochures are printed and have been delivered . Commissioners were given new brochures . The agency is finishing placement for 1997 . Moved by Jerde , second by Shipley to approve the agency • report . Motion carried . • OLD BUSINESS : TOWN CENTER/ EXHIBIT HALL ELECTION Town Center Rally on July 16 at 10 : 00 a . m . was discussed . Commissioners were encouraged to attend . Election issues were discussed . Brochures and posters were distributed . NEW BUSINESS : BLACKWOOD MARTIN CONTRACT RENEWAL Moved by Shipley , second by Williams to exercise option to renew contract with Blackwood Martin & Associates for one additional year for advertising agency services . Motion carried . MISCELLANEOUS : 1 . Marilyn Snapp distributed Hunting , Fishing and Camping guide which is being produced by the Chamber of Commerce . 2 , Mayor Hanna announced that the two RV parks on School Street were under utilized . We are very grateful that A & P. has helped us with the printing of these brochures for several years. The cost may be a little higher this year, as we want to change the text and pictures to depict our popular new Living History Presentation. We need to get 5,000 brochures, as that is a year's supply. 7. We have visitors from all over the United States and expect to attract at least 5,000 this coming year. For the past year it has been about 3,000. 8. Yes, it epitomizes the history of Fayetteville and Washington County, representing Territorial Days up to the Civil War, 9. Depreciation charged to operations for the year ended September 30, 1996 was $374. The estimated lives of assets used to compute depreciation were as follows: Furniture and fixtures 7- 10 years Machinery and equipment 5- 10 years Note 3. The note payable to Fayetteville Restoration, Inc. is payable on November 20, 1996. The note provides for interest at 8 % per annum to be paid annually. If the full amount of the note is not paid at the maturity date, a minimum payment may be remitted and new note written for one year. The note is unsecured. Note 4. In conformity with the practice followed by many organizations of this nature, historical real estate and collections of historical personal property are not included in the balance sheet. The value of the objecis acquired by gift for which the Organization can make a • reasonable estimate is reported as gifts in the statement of activity. There are none reported in the year ended September 30, 1996. The cost of items purchased together with value of items acquired by gift, less the proceeds from deaccessions of items, is reported as a separate program expense. During the year ended September 30, 1996, there were no purchases of such items and there were no proceeds from deaccessions. INC. FAYETTEVILLE, ARKANSAS NOTES TO FINANCIAL STATEMENTS SEPTEMBER 30, 1996 Note 1. Summary of Significant Accounting Policies Washington County Historical Society, Inc. is a not-for-profit organization exempt from income tax under section 501 (C)(3) of the Internal Revenue Code. The Organization exists to determine, preserve, and disseminate knowledge and information about the history of Washington County. The preparation of financial statements in conformity with generally accepted accounting principles requires management to make estimates and assumptions that affect the reported amounts of assets and liabilities and disclosure of contingent • assets and liabilities at the date of the financial statements and the reported amounts of revenues and expenses during the reporting period . Actual results could differ from those estimates. The financial statements of the organization are presented on the accrual basis of accounting . The real estate of the organization is held for the purpose of preservation as part of the historical record and as such is not subject to the principle of depreciation . Equipment is stated at cost. Depreciation is provided on the straight-line basis over the estimated useful lives of the assets. The Organization expenses its nondirect response advertising costs as they are incurred.
