Adjourn • GROUP : ADVERTISING 6 PROMOTION COMMISSION DATE : May 8 , 1995 PRESENT : Coy Kaylor Ben Mayes Jim Waselues Susan Stirewalt Alex Jerde Marilyn Johnson Linda McBride Brad Ruth Fred Hanna ABSENT : Joe Fennel , Woody Bassett CALL TO ORDER : The meeting was called to order by Commissioner Coy Kaylor at 2 : 00 p . m , at the Chamber of Commerce . MONTHLY REPORTS : MINUTES It was moved by Jerde , second by Waselues that the minutes of the April 10 and April 17 meetings be approved . Motion carried . FINANCIAL • Ben Mayes presented the financial report for April . HMR collections were $ 73 , 027 in April an increase of 4 . 048 over 1994 collections . Total year to date collections are $ 287 , 254 an increase of 8 . 018 . April expenditures were $ 110 , 060 . Year to date expenditures $ 306 , 775 . Moved by Waselues , second by McBride to approve the financial report . Motion carried . ACTIVITY REPORT Marilyn Johnson reviewed April activities of Convention Visitor Development . Total inquiry responses for April were 5 , 824 . Year to date inquiries received total 14 , 284 , a slight decrease from 1994 . Convention activity has involved working with incoming conventions and bidding for future conventions . A Quarterly hotel manager/ sales meeting was held . Video Post - Pea Ridge Reenactment and opening of a Northern Tourist Information Center were highlights of the month . Motion by Hanna , second by Waselues to approve the Convention Visitor Report . Motion carried . AGENCY REPORT Susan Stirewalt introduced Brad Ruth who briefed Commissioners on media placement of advertising for the second half of 19.95 . Susan reported that TRIP magazine had chosen Fayetteville for the cover of their magazine for the winter issue . Moved by McBride , second by Jerde to approve the agency report . Motion carried . OLD BUSINESS : EXHIBIT HALL Mayor Hanna will take the plans for the southside to the Mayor ' s Institute on City Design May 11 in Atlanta . Following his return , the subcommittee will meet and formulate plans for proceeding with the Exhibit Hall . NEW BUSINESS : None There being no further business , the meeting was adjourned . O. BOX 1911 FAYETTEVILLE, ARKANSAS 72702 (501) 521-4947 On June 26 , 1995 the Arkansas Air Museum will host a visit of a World War II Boeing B- 17 bomber . The aircraft will be on display through June 29 , 1995s As part of the agreement we need to help with fuel ( 750 gallons ) and four double rooms for four nights . We are requesting from the A & P Commission $ 1 , 400 to assist us in bringing this aircraft to Fayetteville . In May of 1993 a B- 29 visited Fayetteville . Over 8 , 000 people came to see the aircraft . The news media went on a publicity flight and the publicity was front page for several newspapers . There is no aircraft more recognized from World War II than the B- 17 flying fortress . With the 50th anniversary of the end of World War II we are very fortunate to be able to have the B- 17 on exhibit . We expect a large turnout from the entire area . Other events so far this year:-- - Continuing Education Receptions 300 people Hospitality Assoc . The majority of the decreases in responses have been tracked to publications that have been utilized consistently for many years. The following page shows 1994 and 1995 inquiries by publication and the difference 1995 vs 1994, with an index for easy reference. The publications that are performing far below average and the action that is being taken are listed below. NATA Tour Guide (Index 30, down 323) Plans are currently being made for the 1996 NATA Tour Guide. These plans include making the guide more user friendly, with improved response mechanisms. USA Weekend (Index 53, down 2321) USA Weekend travel advertisers as a group have experienced response decreases this year. The publication can offer no reason, but is working on a response mechanism to make the inquiry process easier on consumers. Additionally, BM&A has analyzed the responses coming from USA Weekend and has found that the majority of responses are coming from one of the two regions in which ads have been placed. Future placements will be focused in the region that is producing efficient responses. Travel Guides (Index 63, down 207) Published by Southern Living, responses have been declining for the • past few issues. BM&A feels that burnout may be a factor (that we have reached the potential travelers to Fayetteville who read the publication), and have canceled plans for insertions for the second half of 1995. The publication will be re-evaluated for 1996 placements. Midwest Livin¢ (Index 65, down 553) Midwest Living was utilized for the first time this period last year, with larger, four color ad placements. The 1995 ads were directory ads (small black and white), which have not produced the same inquiries. Ads for the second half of 1995 are quarter page four color ads. Arkansas Newspaper Insert (Index 68, down 896) In the past, the newspaper insert was placed in larger markets (Chicago, Houston, New Orleans, Jackson MS, Springfield, IL) on Sundays. The 1995 Spring Insert was placed in a variety of smaller markets across 11 states on Fridays. Based on response decreases for most advertisers, the State is changing the insert days back to Sundays and is reselecting markets based on their ability to generate inquiries.
