Roll Call III. Minutes: H. Garner moved to approve the minutes from October 16, 2023. B. Park seconded the motion. All voted AYE. IV. Presentation to Trustee Martha Sutherland V. Reports A. Key Upcoming Events: B. Stockdell's holiday harp, technical training with the Musical Education Initiative, and Chinese New Year on January 27th: Year of the Dragon. B. Mission Moment: C. Dennis, Manager of Community Engagement, reported on the Library's efforts of benevolent giving. Food for Fees accrued 860 pounds of food for Community Emergency Outreach; a Fee Forgiveness Tree is available by the Welcome Desk to pay off youth accounts; 414 sweaters from the Mr. Rodgers Sweater Drive will be donated to Seven Hills; the yearly Rangers Pantry pet food drive will last until Dec 23. C. Library Administration 1. Management Reports a. Performance Measures: Not discussed. b. Strategic Plan progress through November 2023: 1,500+ people came to see True Lit author R.L. Stine. The Be(A)ware Halloween event attracted 1,300+ people. Study rooms were booked 921 times in October and 868 times in November. The UAMS Community Healthcare Worker assisted 27 people in FPL. Budget to actual through November 2023 c. Balance sheet as of November 2023 3. Informational a. Bookmobile report: After mechanical failure, insurance adjusters determined the bookmobile needed $22,000 in repairs. There is an opportunity through donations to upgrade to a larger bookmobile with greater range. A final decision from staff is pending. b. Cybersecurity update: After the cyber-attack on the City, FPL's IT team updated responses and worked to strengthen security defenses. A cybersecurity response plan was devised, including password policy changes, additional staff training, and single sign -on implementation. In January, an outside team will hack the library to identify weak points. c. Act 372 update: Attorneys met and set the calendar moving forward. Both sides seek summary judgements. Guidance from V. Chadick is that August will bring an opinion from the court. However, if the court wants to hear witnesses and take the case to trial, the court date will likely be October 2024. d. ARPA update: Staff partnered with the City's Economic Vitality Team to apply for a grant from the Carnegie Foundation. A presentation to the City Council will report the Library's progress. 256 people currently participate in the core ARPA program. 125 Single session workshops are offered with 600+ participants. Staff have been accepted as presenters for the 2024 ALA Conference in San Diego, CA, as well as the Computers in Libraries Conference in Arlington, VA. e. USDA update: Students from the UA Design Center submitted designs linking urban agriculture with the Deli. Three were chosen as finalists. A February vendor fair is in development, which will link farmers with local procurers. An initiative to plant vegetables and fruit trees in the Gathering Glade will provide community education and produce for the Deli. f. Koha update: The internal migration team has met with Bywater, the organization assisting the ILS transition to Koha. Administrative training will take place January 29-February 3, 2023, with staff training to follow. OCLC Wise will extract residual data on March 1, then the Bywater team will make final installations on March 2-3. FPL will be closed during those two days, as it will be impossible to check out items during the transition. VI. Fayetteville Public Library 401 W. Mountain St. Fayetteville, AR 72701 479.856.7000 questions@faylib.org faylib.org g. True Lit report: Total attendance was 5,500+, with 40 unique programs. Staff learned from the R.L. Stine event and plan to implement a ticketing system for popular summer author visits. h. Tanglebriar report: J. Blair fulfilled half of his million -dollar campaign pledge by donating a portion of his Tanglebriar property. The Foundation sold the property at a 5% interest rate with balloon note that in 5 years, the remainder will be paid. i. Legal Counsel update: V. Chadick is FPL's legal counsel, but he is engaged in a case that is occupying the bulk of his time. Colleague P. Elmore will sit for Chadick in the interim and assist FPL on a regular basis. j. New Trustee update: There were 14 applicants for the open Trustee position. The mayor will interview the candidates and could make an announcement at the last City Council meeting of the year. k. Staff development & professional development: S. McClure attended a Music for Kiddos symposium, three Circulation staff attended a Super Google Users meeting, and 36 staff attended online de-escalation training for individuals experiencing homelessness. I. New staff & recognition: S. Edwards is the new HR Manager and D. Thurstenson is an AV Support Technician. J. Smith will join next week as a new Deli chef. D. Fayetteville Public Library Foundation monthly report: Along with the Carnegie grant, end -of year mailers yielded many new donors. Giving Tuesday raised $7,000+, twice the amount of 2022's donations, and Be(A)ware raised $8,000+. Successful fundraising community events included evenings at Crisis Brewing, Orthodox Pint Night, and Singing for a Cause at Big Box Karaoke. January 18, 2024, will be an Expansion celebration for Capital Donors. Staff are soliciting sponsors for Reading the Greens, which is April 13. E. Friends of the Fayetteville Public Library: Two book sales yielded $2,000+. The annual volunteer appreciation lunch was held, and the Friends Board is seeking additional members. New business A. Discussion items 1. 2022 Audit: In November, the Finance Committee met with auditors to hear the results of the audit. The Library received an unmodified opinion. H. Rodgers motioned to approve the 2024 Budget. H. Garner seconded the motion. All voted AYE. VII. Public Comment: S. Palmer mentioned FPL was declared Best Library and was a finalist for Best Event Venue in Citiscapes Magazine. Adjournment: R. Qualls motioned to adjourn. H. Garner seconded the motion.
